RoleAs Executive Assistant to the CEO & Board, you are the first point of contact at Tourism Ireland for many senior stakeholders and partners. You are a highly organised, proactive, and professional Personal Assistant (PA) who provides dedicated support to the CEO and administrative assistance to the Board of Directors. You have exceptional written and oral communication, and are proud to represent the organisation, supporting senior leaders. You enjoy working in a dynamic function, engaging on important topics, with an enthstic, can-do attitude. You support the CEO and Board as regards meetings, day to day operations, events, and travel, whether internally or externally focused. You will also play a key role in collaborating with other PAs and other colleagues to support the activities of the Senior Management Team (SMT) and sister agencies, ensuring alignment and effective coordination across all senior-level schedules and initiatives.   • Diary and schedule management of the CEO: Coordinate CEOs appointments, meetings, and travel.
  • Correspondence: Manage emails, calls, and written communications on behalf of the CEO, ensuring timely responses and follow-ups.
  • Travel Coordination: Plan and book domestic and international travel, including itineraries, accommodations, and transport.
  • Meeting Preparation: Organise and prepare agendas, reports, and presentation materials for internal and external meetings.
  • Confidentiality: Handle sensitive information with the utmost discretion and professionalism.
Board Administration
  • Meeting Coordination: Schedule, organise, and provide logistical support for Board meetings, including including venue arrangements, technology setup, and catering.
  • Provide board operations support, including coordinating the Chair and Boards work-related travel expenses.
  • Communication: Act as the primary administrative point of contact for the Board, facilitating clear and timely communication between Board members and the organisation.
  • Event Management and Support: Assist with organising Board-related events such as familiarisation programmes.
General Administrative Support
  • Office Administration: Assist with ad hoc administrative tasks, such as maintaining filing systems.
  • Project Support: Provide administrative assistance for special projects as assigned by the CEO/ SMT or Board.
  • Stakeholder Engagement: Liaise with internal and external stakeholders to support effective collaboration and communication. Proactively identify and implement process improvements to enhance efficiency.
  • Other duties that the company may from time to time reasonably require.
This role may occasionally require some travel and work outside of normal business hours. The Person The ideal candidate will demonstrate the following skills and experience:
  • Relevant experience and demonstrated track record in a similar or comparable role.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with board management software (e.g., Diligent, BoardEffect) is an advantage.
  • Excellent written and verbal communication skills.
  • Exceptional organisational and time management skills, with the ability to manage competing priorities.
  • High level of discretion and confidentiality.
  • Strong interpersonal skills, with the ability to build relationships at all levels.
  • Dynamic and solution-focused with a can-do mentality and an ability to work on own initiative.
